Terms and Conditions

All fair bookings must be made to MiniatureFairs.co.uk our Booking Form (or handed in person).

By signing this you are agreeing to the following ‘Terms and Conditions’.

• Communications between The Organiser and the Trader will be via email.
• A £10 non-refundable deposit per table is required at booking; the balance is due on the fair day.
• Bookings are provisional until the form and deposit/full payment are received.
• Late bookings (7 days or less before the fair) may be accepted at The Organiser’s discretion, with full payment required at booking.
• Non-arrivals or cancellations (less than 7 days before the fair) forfeit the deposit.
• MiniatureFairs.co.uk may decline further bookings until outstanding fees are paid.

Accepted payment methods:

• Bank/BACS Transfer
• Credit/Debit Card
• Cash on the day after 13:00hrs

2026 Pricing:

• Sales Tables: £60 each (no discounts for multiple tables).
• Demonstration Tables: £30 each (max 2 per fair, 50% can be used for selling).

2026 shows will feature 1:12th, 1:24th, and smaller scale miniatures.

Traders will receive venue details, fair information, and a floor plan via email approximately 7 days before the show,

Please note, we do not offer card payment services for trader/customer purchases. Ensure you can take card payments.

We may photograph your stock and stand for our website or promotional materials. Please notify the Organiser if you do not consent to photography.

All venues enforce a non-smoking/vaping policy. Smokers must be at least 5 meters from entrances/exits.

No dogs, except guide and assistance dogs, are allowed in the Fair Rooms.

Do not deface venue walls. Unauthorized notices/advertisements may incur a fine up to £250.

Setup: Venues open at 08:00 for setup. The fair runs from 10:30 to 15:00. Do not dismantle your stand before 15:00, but discreet tidying is allowed from 14:30. If there’s an evening event, you may need to vacate by 16:30-17:00.

Parking: Free at most venues. You may need to move your vehicle before the show opens.

Stock: Traders must accurately describe their stock and the percentage of imported items on the Booking Form. Only declared goods are allowed; unauthorized items may be removed.

Exhibitors must not sell items copied from other crafts persons, stolen, or restricted by contracts. Items under legal dispute must not be brought to the fair. The Organisers and The Venue are not liable for any business loss. Ensure compliance with copyright laws and avoid actions that could disrepute the event, Organiser, or Venue.

Display: Traders should display their goods professionally to maintain fair standards.

• The sale of stock with discount offers can-not be more than 5% of your table.
• Large boxes, tubs, or containers for stock are not allowed next to, beside, behind, or under your table.
• No side tables or chairs for displaying stock.
• Tables at the rear are for cash and wrap only if space permits. Unauthorized boxes or tables will be removed, and a £10 per foot charge will apply.

Tables: Table sizes vary by venue, typically around 2’6" wide. You may bring boards to standardize the width. Prices are for a standard 6ft table; alternative sizes will be priced pro-rata.

Each stand has 2 chairs and an electrical point (not for kettles). Bring an extension cable and a tablecloth.

Refreshments: Free tea and coffee are provided. Bring your own mug.

Trader Pack: On arrival, you’ll find a pack on your table with:

• Invoice for balance owed
• Rubbish bag
• Show brochure
• Sweets/chocolate
• Returnable exhibitor badge (at end of fair to reception).
• Booking form for next available fairs.

Payment: Place the balance in the provided envelope and return it to the organiser after 13:00. Ask for a receipt if needed.

Covid Precautions: Take any personal precautions you feel necessary.

Cancellations: The Organiser can cancel shows if criteria aren’t met. Deposits will be refunded.

Compliance: The Organiser can refuse Trader attendance if terms are breached.
